Our Terms & Conditions

The Agreement

By making a reservation with Iceland Challenge ehf., you confirm that you have the authority to agree and to accept these booking terms on behalf of yourself and your group. A binding agreement between Iceland Challenge ehf. and The Client is established when The Client has agreed and confirmed their requirements verbally or via email, and Iceland Challenge ehf. has accepted such reservation by sending a confirmation.

Your agreement is made with Iceland Challenge ehf., located at Holtaseli, 37, 109 Reykjavík, Iceland.

Upon receipt of our confirmation, it is vital that you review the experience details we have arranged and confirmed, and promptly notify us of any discrepancies. Failure to do so, and a delay in reporting any apparent discrepancies in the confirmed arrangements, may result in us not being liable for any charges incurred due to necessary alterations to the experience reservation.

Payment Terms

To confirm your booking, Iceland Challenge ehf. requires a deposit of 20% of the total itinerary cost. 10% of this deposit payment is non-refundable. For bookings with total amount less than 200,000 Icelandic Krona (ISK), full payment is required upon confirmation of booking.

If the booking is made less than four (4) weeks before the start of the program, the full amount must be paid. In the case of multiple payments, the final balance is due at least tree (3) weeks before the start of the program. Failure to make timely payments may lead to Iceland Challenge ehf. treating it as a cancellation and withdrawing the booking confirmation.

Payment for your experience can be made via credit card (Visa or MasterCard) or bank transfer according to the invoice made by Iceland Challenge ehf. For bank transfers in foreign currencies (EUR, GBP, or USD), the exchange rate provided by Iceland Challenge ehf. on the invoice's issuance date applies to each payment.

Please note that our payment terms may vary depending on the itinerary and our suppliers' payment policies, which will be clearly communicated before booking confirmation.

Price Validity

Iceland Challenge ehf. uses various local suppliers to provide your itinerary, and the rates we quote are based on their current list prices. In case of any price increase before the entire program is confirmed, Iceland Challenge ehf. will promptly inform The Client. All prices quoted to The Client include VAT and other taxes unless stated otherwise in the confirmation email. Once the final invoice is issued, the price quoted to the client is fixed and guaranteed unless provided in a foreign currency (see below). Quoted prices in foreign currencies are subject to exchange rate fluctuations. Failure to provide proof of payment to Iceland Challenge ehf. within 10 days after the invoice's issuance may result in Iceland Challenge ehf. issuing a new invoice based on a new exchange rate.

Cancellations By The Client

You may cancel your booking at any time by notifying Iceland Challenge ehf. in writing. A prompt refund of the amount paid (excluding any amendment charges, if applicable) will be provided, less the specified cancellation fees:

For multi-day and group (from 4 people) tour packages:

  • Up to 45 days before the program's start: 20% of the total amount

  • 25 to 44 days before the program's start: 40% of the total amount

  • 14 to 24 days before the program's start: 60% of the total amount

  • 6 to 13 days before the program's start: 80% of the total amount

  • Less than 5 days before the program's start: 100% of the total amount

For day tour or tour with duration 1-12 hours:

  • More that 24 hour’s notice: 100% of the total amount

  • Less than 24 hour’s notice: 100% of the total amount

Please note that our cancellation policy depends from the itinerary and our suppliers' cancellation policies. Cancellation of one or more passengers within a group may result in a price increase for the group or applicable cancellation fees.

We strongly recommend that all clients obtain comprehensive travel insurance. If the reason for cancellation is covered by your insurance policy, you may be able to reclaim some or all of the cancellation charges.

Amendments By The Client

We will endeavour to assist you in amending your experience arrangements after booking, but cannot guarantee such changes will be possible. Any charges resulting from such amendments (whether by us or the suppliers of the various experience components) will be your responsibility.

Cancellations By Iceland Challenge ehf.

Iceland Challenge ehf. reserves the right to cancel any trip before departure due to reasons such as unforeseen equipment failure, adverse weather conditions, road closures, and other unforeseeable events beyond Iceland Challenge ehf. control. Cancellation by Iceland Challenge ehf. under the aforementioned circumstances will result in a full refund of all funds paid for the tours/activities which were cancelled.

Amendments By Iceland Challenge ehf.

Given the nature of our holidays, it may be necessary for us to make changes to your itinerary, which we reserve the right to do at any time. Most changes are minor, and we will inform you at the earliest possible date of any changes.

Liability

Iceland Challenge ehf. Reserve the rights to alter routes, itineraries or timetables without prior notice if the necessity arise. No liability is accepted for losses or expenses due to delays or changes of arrival or departure of flights or other services, injury, sickness, accident, strikes, damage, negligence, weather, war or other causes outside the control of Iceland Challenge ehf.. All such losses and expenses are the personal liability of the traveller.

In all arrangements involving third parties, Iceland Challenge ehf. acts as the agent of The Client, and no liability of any kind shall be attached to Iceland Challenge ehf. in connection with or arising from such arrangements with third parties. Iceland Challenge ehf. will not be liable for any loss, damage, or injury to any person or property, regardless of the cause.

Lost and found

Iceland Challenge ehf. bears no responsibility for any lost or damaged possessions aboard our vehicles. Passengers are accountable for their belongings and must ensure their security. Any found items should be promptly reported to the driver or a representative of Iceland Challenge ehf. While we will make reasonable attempts to reunite lost items with their owners, we do not assume liability for lost or stolen possessions. It is advised not to leave valuables unattended. Passengers are urged to stay vigilant and report any suspicious behavior.

Visa support

Please note, we do not provide visa support, we only can provide booking confirmation letter after the payment was made for the full package.
